Which room should we book?

Sala Reggio Ballroom seats up to 360 guests and is the room for a large function. Members Lounge Restaurant seats up to 156 with a dance floor (180 standing). Club 84 is a cocktail lounge for 80 to 180 guests. Bistroteca is our Italian bistro and pizzeria, seating up to 160 across mixed tables. Ottimo is a private dining room for 20 to 56 guests. For fewer than 50 guests we usually recommend Bistroteca or Ottimo.

Can we have the room to ourselves?

Accepted Answer

Yes. Ottimo is always private — the room belongs entirely to your party. The Members Lounge Restaurant can be hired exclusively (minimum spend $6,900). The Sala Reggio Ballroom is booked per table, with the room shared with other families. Club 84 is hired as a whole room. Bistroteca is public dining only and is not offered for private hire.

Do you host wakes and memorials?

Yes. Wakes and memorial services can be arranged any day of the week at Bistroteca, and the Ballroom, Restaurant and Club 84 also host them. Call the office and we will talk through the timing, which is usually more flexible than an evening function.

Can we see the room before we book?

Accepted Answer

Call the office on (03) 8560 0556 to talk through the room and arrange a time to walk through it. We will tell you honestly which room suits your numbers and your date.

How much is the deposit?

Sala Reggio Ballroom: $165 per table, fully refundable. Members Lounge Restaurant: $1,650 for exclusive hire. Club 84: $1,650. Ottimo: $225. Bistroteca: $20 per person. Every deposit listed is fully refundable up to 28 days before the event.

Does the deposit hold the date?

Yes. A date is held once the deposit is paid — a saved quote or a date checked on this site does not hold it. If you are still deciding, call us and we will tell you whether someone else is looking at the same day.

Question 7

When is the balance due?

Accepted Answer

We email your balance 8 days before the event and it is due 4 days prior. For exclusive hire, if the balance is unpaid the exclusive benefits (speeches, plinths, private use) cannot be honoured. A 1.6% credit card surcharge may apply when settling at the venue.

Can we cancel or move our date?

Accepted Answer

Bookings are fully refundable up to 28 days before the event. Inside 28 days, talk to the office — we will always look at what can be done, but we cannot promise a refund that falls outside the terms you agreed to.

Question 9

When do you need final numbers?

Accepted Answer

Final guest numbers and your seating plan are due 8 days before the event. You can enter them yourself in your booking portal — open your booking with your email address and booking reference, then use the guest list and table plan tabs.

What if guests don't turn up?

Accepted Answer

After final numbers are confirmed, no-shows are charged at $25 per absent guest. This is why it is worth taking numbers as late as the 8-day cut-off allows.

Question 11

Can we still change things after we finalise?

Accepted Answer

Yes. Your portal reopens for editing when you change the seating plan or guest numbers, and you confirm again once it is right. If your booking is locked and you need to change something, call the office and we will reopen it for you.

Question 12

What are the children's prices?

Accepted Answer

Children under 12 are $25 on the Family, Lucciola and Lungomare menus and $30 on the club and wedding menus in the Ballroom. At Bistroteca and Ottimo children under 12 are $25, and babies and toddlers on high chairs receive a free child's meal.

Do you cater for dietary requirements?

Yes. All special dietary requirements are catered for, and halal menus are available in the Ballroom. Enter each named requirement against the guest in your portal so the kitchen cooks the right plate for the right person.

Can we bring our own cake?

Accepted Answer

Yes. We provide boards, knives and plates for self-cutting. Drop-off is after 12pm on the day for Monday to Saturday evening events, and after 9am for Saturday lunches and Sunday events. Generally there is no access earlier than 45 minutes before the start — call the office if your cake needs to arrive before that.

Can we bring extra food?

At Bistroteca you may bring extra food such as biscuits and pastries. Elsewhere, check with the office first so the kitchen can plan for it.

Can we bring our own alcohol?

Accepted Answer

No. The venue is not licensed for BYO, and alcohol may not be taken outside the venue. There is a full bar on site.

What drinks are included?

Accepted Answer

Soft drinks and espresso with dessert are included on the Bistroteca and Ottimo menus; other beverages are at bar prices. Club 84 includes a $2,000 bar tab — 200 drinks at $10 — with soft drinks free and not counted against it. Anything beyond the tab is negotiated at a discounted rate.

Can we run a bar tab for our guests?

Yes. You can nominate an amount and choose which drinks the tab covers from your booking portal. The bar stops serving on your tab when it is used, and you are told what was spent.

Question 19

Do you provide a DJ?

In Club 84 a DJ is included, and at Bistroteca the venue supplies the DJ. In the Ballroom, when 8 or more tables are booked across all bookings that evening, the DJ and MC are provided free; with fewer tables you get house music. A DJ and MC can be hired for $600 to $1,500 in the Ballroom or Restaurant regardless of table count, confirmed when you book.

Can we play our own music?

The Restaurant and the Ballroom both have Bluetooth sound systems, and in Ottimo you can connect your own music to the room. Full live band facilities and an AV suite (screens, projectors, lighting) are built into the Ballroom.

Question 21

Is there a microphone and screen for speeches?

Accepted Answer

Yes — plinths, microphone and stage for speeches are included with exclusive hire of the Restaurant, and the Ballroom has a full AV suite. Bistroteca has a lectern, plasma screen and projector.

When can we get into the room?

Doors open at the function start time only — there is no early access for setup unless it has been arranged with the office beforehand.

What time does a function run?

Accepted Answer

A standard evening starts at 6:30pm and closes at 11pm in the Ballroom, Restaurant and Bistroteca; Ottimo closes at 10:45pm. Bistroteca's public dining runs Saturday 6:30pm to 10:30pm and Sunday 12:30pm to 4:30pm. Club 84 functions run Thursday to Sunday.

Who runs the evening?

Your events coordinator runs the booking from first enquiry to the night itself, and the kitchen and floor teams work to a written run sheet for your room. You will see that timeline in your portal.

Where are you?

Reggio Calabria Club, 476 Brunswick Road, Parkville — 4 km from the Melbourne CBD, directly off Citylink. All rooms are on the one site.

Is there parking?

Yes — 450 free car parking spaces on site.

Is there disabled access?

Accepted Answer

Yes. There is disabled access and lifts to all venues, including the Ballroom on the upper level.

How do our guests find the room?

Accepted Answer

Send them the link from your booking portal, or print a floor plan from it. Each room has its own directions and floor plan so guests arrive at the right door.

Are balloons and confetti allowed?

Accepted Answer

No confetti balloons and no loose confetti — they will be removed. Balloon arches and backdrops are fine; tell us in your portal when they are being delivered and where they should go.

Is there anything different for sports club functions?

Functions for male youth sports clubs require two security guards at $980 per event.

Do you make announcements or speeches?

Accepted Answer

The venue does not make speeches or announcements at Bistroteca. In the Ballroom and Restaurant, speeches are part of the run sheet — your MC or host leads them.

Question 32

How do we open our booking?

Accepted Answer

Go to the booking page and enter the email address you booked with and your booking reference — it is in your confirmation email and starts with TML- or or_. Everything about your event lives there: guest names, dietaries, tables, drinks, cake, numbers and payments.

We can't find our booking reference.

Search your email for 'booking reference'. If it is not there, call the office on (03) 8560 0556 or send an enquiry and we will send your link again.

Can we pay online?

Accepted Answer

Deposits are paid online when you book. Balances are invoiced to you, and the office will confirm the payment options on your invoice. A 1.6% credit card surcharge may apply at the venue.

Do you hold ticketed events?

Accepted Answer

Yes — seasonal luncheons and celebrations are ticketed through this site on the What's On page, with tables and individual tickets. Nothing is sold through any other ticketing platform.
